Meeting & Events Coordinator

Your Mission

The M&E Coordinator will have logistical responsibility for several events per year including conferences and meetings of different sizes. The position involves close cooperation with Event Managers and teams, but also requires ability to multi-task and take the lead, working individually on projects in a high-pressured environment.  The M&E Coordinator will report directly to the client and the Manager. This job requires a highly motivated individual, flexible, confident, ready to travel and looking for something other than a 9 to 5 schedule

Management (20%)
·   Direct involvement in the management of projects attributed, including event planning, budgeting, contracting, quality of work, client management etc...
·   Maintaining enthusiasm and professional standards within the event/ project teams
·   Financial management and cost control (budgeting, invoicing, accounting, reconciliation and closure)
·   On site management, including suppliers and team management
 
Business development (10%)
·   Participating to the realisation of concepts and proposals
·   Cross selling (MCI, Ovation, Dorier...)
·   Maintaining and developing client relationship with a view to retaining existing business and developing new business (directly or putting client in contact with sales team)
 
Production & Operations (65%)
·   Logistics management (venue and supplier selection, negotiation and contracting, registration management, accommodation management and travel arrangements)
·   Participating in production and presentation of proposal to clients (concept, creativity, planning, timeline, budget)
·   Planning of operational roles within the events/project teams
·   Implementing projects (operational and financial) in accordance with pre established and approved budgets and deadlines
·   Regular internal reporting on project planning and operational progress as well as on client contact
·   Participating in event debriefs, gathering client feedback and implementing this on future projects
·   Regular and frequent communication with clients including monitoring of client satisfaction
·   Setting, communicating and maintaining timelines and priorities on every single project
·   Delivering meetings and events on time within budget, meeting and exceeding client’s expectations
·   Be able to maintain the same efficient and qualitative service during the back up of projects
·   Final reconciliation (operational and financial) of all projects handled
 
Additional responsibilities ( 5%)
Representing MCI and participating at selected industry events, exhibitions, presentations and social events

Your Profile

  • A minimum of 2 years experience in the industry
  • Prepared to work independently with minimum supervision, taking personal responsibility for the assigned projects
  • Strong relationship management and interpersonal skills
  • High level of project management, organisational and time management skills
  • Excellent written and oral communication skills
  • Ability to make decision, prioritize and remain calm under stress
  • People management skills, to the level of managing a team pre event and on site
  • Strong supplier management and negotiating skills
  • Operating of budgets/financial control
  • Problem solving skills
  • Experience working in an international environment
  • Fluency in English (additional European languages are considered as a plus)
