JOB OBJECTIVE

The Events Executive will have logistical responsibility for several events per year including conferences and meetings of varying scale. This role involves close cooperation with Event Managers and teams and requires ability to multi-task and take the lead when required, as well as being able to work independently on projects in a high-pressured environment.  

MAIN RESPONSIBILITIES

Execute virtual or hybrid programs and lead on-site execution
Partner with agencies to lead filming and production of content
Set, communicate, maintain timelines and priorities on every single project through timeframes, status reporting, emails etc.
Deliver meetings and events on time, within budget and participating to the realization of concepts and proposals
Participate in production and presentation of proposal to clients (concept, creativity, planning, timeline, budget)
Communicate regularly with clients including monitoring of client satisfaction
Maintain and develop long-term client relationship by meeting or exceeding client’s expectations 
Participating in event debriefs, gathering client feedback and proactively and accurately transmit relevant information 
Final reconciliation (operational and financial) of all projects handled
On site management, including suppliers and team management

 

DESCRIPTION OF THE RELATIONSHIPS

• The Events Executive reports to the Director of Corporate Division & Assistant Director – Event Operations
• The Events Executive works in direct contact with the client, reporting, consulting and communicating in order to ensure that the client is aware and satisfied of the progress;
• The Events Executive works in direct contact with the suppliers, negotiating, supervising and working in close collaboration to ensure the success of the event

 

JOB REQUIREMENTS

Diploma/Degree qualification in Business/Marketing/Communications
Being technologically savvy and comfortable with using new tools or software will be highly advantageous 
Good level of project management, organizational and time management skills
Excellent written and oral communication skills
Excellent eye for details
Able to work under pressure and meet multiple deadlines
Candidates with more experience will be considered at Senior Executive level

 

SPECIFIC TECHNICAL SKILLS 

• Fluency in English (both written and spoken)
• Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint)

 

ADDITIONAL LOCAL REQUIREMENTS

Project Management (45%)

Accomplish specific logistics tasks of meetings/events,
Follow clear directions and systematically apply Standard Operating Procedures (SOPs)
Suggest potential improvement to procedures and processes

Administration and IT (50%)

• Carry out and complete administrative functions e.g. system policies/ procedures for record keeping, file naming, use of templates, back-up of electronic files, folder synchronization, on-line/off-line folder management, storage, document design and editing, calculations etc.

• Use in advance mode all tools and systems, computer hardware/software available, specifically MS Office suite and all other tools/systems implemented globally or locally.
