Project Coordinator PCO

As our new Project Coordinator within the PCO Department, you will be responsible for the development, production and delivery of medium level projects with a focus on general congress and sponsoring/exhibition logistics. The job also may include speaker and abstract management, marketing & promotion, finances, etc.. You will work under the supervision of a project manager and team leader.

Main responsibilities:

  • Assist in deliver congresses and conference events on time within budget and to meet and exceed client's expectation
  • Actively set, communicate and maintain timelines and priorities on every project
  • Manage operational and administrative functions as required ensuring the effective and efficient delivery of projects
  • Pro-actively report up on development of projects to the Project manager 
  • To effectively communicate with suppliers and other stakeholders
  • Manage project budget
  • To drive for excellence in customer service and quality delivery
  • Effectively communicate, maintain and develop sponsor / client / supplier relationships with a view to retaining existing business and developing new opportunities 
  • Manage check-lists and procedures as part of a constant evolution to thrive excellence
  • Actively participate in project meetings and proactively contributes to the evolution of the project 

Job requirements:

  • Educated to minimum bachelor degree level in Event Management, Hotel Management, Tourism or another relevant domain
  • Minimum of 2 years relevant experience in the congress industry
  • Fluent in Dutch and English both written and spoken 
  • Attention for detail while keeping a helicopter view 
  • Flexibility to work in weekends or evenings during an event
  • Open to international travel for congresses 
  • Advanced knowledge and use of IT tools, mainly Microsoft tools
  • Necessity to learn and find solutions, to plan and organize and to be customer & result minded 
  • Personality: Flexible, multitasker and able to stay calm and to handle stress & overtime during peak periods
  • Awareness of event risk assessment and health and safety implications
  • Knowledge of regulation pertaining to sponsorship and exhibition activities in Europe and overseas is preferred
  • Presentation skills or serious interest to develop
