Challenge

The International Association for Child and Adolescent Psychiatry and Allied Professions (IACAPAP) serves as an advocate for the promotion of mental health and development of children and adolescents on a global scale through policy, practice and research.

With its biennial congress postponed due to the untimely arrival of the pandemic, the client decided to host a live webinar in place of the original congress as a prelude to its virtual congress on MCI’s advice.

With the client entrusting MCI to deliver the webinar from scratch in 6 weeks, the project was complicated by the client’s decision to invite an international pool of speakers – which meant that project coordination was now made much tougher with speakers spread across varying geographical regions and time zones.

Solution

The team at MCI Singapore worked quickly to identify a suitable webinar platform to use from a shortlist developed based on the client’s requirements and budget.

Comprehensive services such as budgeting, marketing, platform selection, speaker and registration management were provided alongside show management and technical support on the actual day.

Recognising the speakers’ geographical and time zone differences, the speaker management team was split into sub-teams to handle specific regions to enhance efficiency, while ensuring that timely support was provided. Various guidelines were also developed, with briefings conducted for the client and speakers by the respective sub-team to prepare them for the webinar environment.

In the end, the team successfully delivered the webinar within the short timeframe of 6 weeks and received excellent feedback from the client, speakers and attendees present.
