Challenge

The 5G Automotive Association (5GAA) is a global, cross-industry organisation of companies from the automotive, technology, and telecommunications industries (ICT), working together to develop end-to-end solutions for future mobility and transportation services. It includes more than 130 companies from all over the world.

Due to Covid-19 restrictions, MCI Germany and Logos, MCI public affairs coalition and stakeholder management company, were asked to organise the mandatory General Assembly virtually for association members to vote about the decisions taken by the Board.

Apart from legal requirements (e.g. the Articles of Association) which form the foundation of a General Assembly, it was the challenge of electronic voting that the team faced. 

Solution

After revising various voting platforms, the team decided to develop their own one to meet all the legal and confidentiality requirements of the voting.

MCI experts consulted the client regarding the steps they had to take and service providers they had to get on board as well as potential traps and obstacles and the ways to avoid them.

Confidentiality of the vote had to be ensured due to the high sensitivity of the topics, e.g. elections of board members, exclusion of some members while all votes took place live. Back-office allowed staff to monitor who voted providing transparency to members on the number of for/against/abstentions. The team managed to set everything up within less than five weeks. 

Holding a General Assembly virtually allows associations to act even in challenging times when face-to-face events cannot take place and ensures continuity of the association's mission.
