Challenge 

The Emirates Physiotherapy Society (EPS) is committed to raising the standards of physiotherapy in the UAE, conduct continuing professional development activities and provide a common platform to network. 

Their 2020 Emirates Physiotherapy Conference was planned to take place physically in March 2020. Faced with the disruptions caused by COVID-19, the Society sought the advice of MCI UAE to guide them in their shift to a virtual event. 

Having only 7 weeks to design a fully virtual experience, many choices had to be made. From the selection of a robust event platform, to repurposing content and realigning the sponsors and delegates to a virtual meeting.

Solution

The Emirates Physiotherapy Conference has a comprehensive and intensive programme. When moving the conference online, many aspects – agenda, workshops, plenary sessions, exhibition, poster sessions, abstract presentations, CME evaluation and accreditation – had to be transformed. 

The Society and MCI UAE worked together to integrate those requirements into the virtual experience through a bespoke digital platform that hosted delegates, speakers and sponsors.  

Our team engineered a variety of elements into the conference design: along with a live streaming that included a live Q&A and polling, delegates could network, attend E-posters sessions, check the conference’s social media feed, have meetings with sponsors, and receive CME certifications.

It was essential for the success of the conference to maintain the existing sponsors and target new ones based on the virtual conference’s benefits. MCI UAE sponsorship team created customised packages revised in benefits and price. Sponsors were able to display their branding in various sessions, network with attendees and have a virtual exhibition booth.

The virtual conference attracted 7 major industry sponsors thus making the experience financially viable for the Society.

At the same time, MCI UAE and the Society had to guarantee delegates participation to the conference. Thanks to clear, open and responsive communication, the team managed to retain those delegates who had registered for the in-person conference. Marketing efforts, including a redesigned conference website, social media and email campaigns, video teasers and PR secured new attendees. 

Additionally, the choice of making the content available on-demand after the conference ended attracted even more viewership across a wider geographic spectrum.
